Privacy policy
Last updated on
Team Hope vzw respects your privacy. This policy explains which personal data we process through this website, why we do so, who we share it with and what your rights are. We process your data in accordance with the General Data Protection Regulation (GDPR).
Who is responsible?
The data controller is Team Hope vzw, Zepperenweg 109, 3800 Sint-Truiden (KBO 0654.843.436), info@vzwteamhope.be. You can contact us there with any question about your data.
Which data do we process and why?
- Contact form: your name, email address, subject and message, to answer your question. Legal basis: our legitimate interest in replying to people who contact us.
- Volunteer application: your name, email address, phone number, occupation, age, address and availability, to review your application and arrange to meet. Legal basis: steps you request before starting as a volunteer. If you are under 16, please ask your parents for permission first.
- Donations: your name, email address, the amount and any message, to process your donation and send you a confirmation. Your payment details (such as your card number) are processed directly by our payment provider Stripe; we never see them. Legal basis: carrying out your donation and our legal accounting obligations.
- Tax certificate (only if you ask for one): your address and national register number. The law requires us to use them to issue a tax certificate and send it to the Belgian Federal Public Service Finance. Legal basis: legal obligation. If you do not ask for a certificate, we neither ask for nor store this data.
- Website visits: on every visit our hosting provider processes technical data such as your IP address, browser type and time, to keep the website secure and available. To prevent abuse of the forms, we briefly keep track of how often an IP address submits a form. Legal basis: our legitimate interest in a secure website.
Who do we share your data with?
We never sell your data. We work with these service providers (processors), who only use your data on our behalf:
- Vercel – website hosting.
- Stripe – online payment processing.
- Resend – sending the emails of the forms.
- Sanity – website content management and storage of donations (including the data for a tax certificate).
- Google – address suggestions (Google Maps), only when you use the address field of the donation form.
- Cloudflare – Turnstile, a check that protects the forms against spam, when it is enabled.
- The Federal Public Service Finance receives the tax certificate data, as required by law.
Transfers outside the European Union
Some of these providers are based in the United States. Such transfers only take place with the safeguards required by the GDPR, such as the EU-US Data Privacy Framework or the European Commission's standard contractual clauses.
How long do we keep your data?
- Contact messages: as long as needed to handle your question, and at most one year.
- Volunteer applications: as long as you volunteer with us and up to one year afterwards. If you do not start, we delete your data within six months.
- Donations and tax certificates: as long as accounting and tax law require, and at most ten years.
- Technical data of website visits: according to our hosting provider's limited retention period.
Cookies
This website does not use analytics or advertising cookies. We only set the functional NEXT_LOCALE cookie, which remembers your language. During a payment Stripe sets cookies to prevent fraud, and Google and Cloudflare may set cookies when you use their features (address suggestions or the spam check).
Security
The website uses an encrypted connection (HTTPS). Only board members of Team Hope have access to the submitted data. National register numbers are never sent by email; they are only visible in the secured management environment.
Your rights
You have the right to access, correct or delete your data, to restrict or object to its processing, and to data portability. Email info@vzwteamhope.be to exercise these rights. We reply within one month.
If you are not satisfied with how we handle your data, you can lodge a complaint with the Belgian Data Protection Authority, Rue de la Presse 35, 1000 Brussels (www.dataprotectionauthority.be).
Changes
We update this policy when the way we work changes. The date at the top shows when it was last updated.
